2. What Data We Collect, Why, and Or Lawful Basis

Personal data means any information capable of identifying an individual. It does not include anonymised data.

Communication Data includes any communication that you send to us whether through the contact form on our website, email, text, social media messaging or any other channel. We process this data for the purposes of communicating with you, for record keeping, and for the establishment, pursuance or defence of legal claims. Our lawful ground is our legitimate interests — specifically, to reply to communications sent to us, to keep records, and to establish, pursue or defend legal claims.

Customer Data includes data relating to any purchases of goods and/or services such as your name, title, billing address, email address, phone number, contact details and purchase details. We process this data to supply the services you have purchased and to keep records of such transactions. Our lawful ground is the performance of a contract between you and us, and/or taking steps at your request to enter into such a contract.

User Data includes data about how you use our website and any online services together with any data that you post for publication on our website or through other online services. We process this data to operate our website, ensure relevant content is provided to you, ensure the security of our website, and maintain back-ups of our website and/or databases. Our lawful ground is our legitimate interests — specifically, to enable us to properly administer our website and our business.

Technical Data includes data about your use of our website and online services such as your IP address, browser details, length of visit to pages, page views and navigation paths, time zone settings and other technology on the devices you use to access our website. The source of this data is our analytics tracking system. We process this data to analyse your use of our website, to administer and protect our business and website, and to deliver relevant website content. Our lawful ground is our legitimate interests — specifically, to enable us to properly administer our website and to grow our business.

Marketing Data includes data about your preferences in receiving marketing from us and your communication preferences. We process this data to deliver relevant website content to you and to send marketing communications. Our lawful ground is either your consent or our legitimate interests (namely to grow our business and to keep you informed of our services).

Sensitive Data

We do not collect any sensitive (special category) data about you. Sensitive data refers to data that includes details about race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, health information, and genetic and biometric data. We do not collect any information about criminal convictions and offences.

3. How We Use Artificial Intelligence (AI)

We use AI tools to support certain aspects of our business operations. This may include content creation (such as drafts, emails and social media), idea generation, research assistance, and internal productivity tasks.

All AI-generated content is reviewed and edited by a human before being shared with clients or published publicly.

We will never knowingly input sensitive or personally identifiable client data into public AI platforms. Any AI tools we use that process personal data are subject to appropriate data processing agreements and are used in compliance with UK GDPR and the DUAA.

We do not use AI to make fully automated decisions that have legal or significant effects on individuals without human oversight and review.

4. Marketing Communications

Our lawful ground for processing your personal data to send you marketing communications is either your consent or our legitimate interests (namely to grow our business).

Under the Privacy and Electronic Communications Regulations, we may send you marketing communications if (i) you made a purchase or asked for information from us about our goods or services, or (ii) you agreed to receive marketing communications — and in each case you have not opted out of receiving such communications.

Before we share your personal data with any third party for their own marketing purposes we will get your express consent.

5. Disclosures of Your Personal Data

We use the following third-party service providers ("processors") to run our business. Each processes personal data only on our instructions and under a data processing agreement. Some store data outside the UK — where they do, the transfer is protected by Standard Contractual Clauses with the UK Addendum, as set out in their data processing agreements:

  • GoHighLevel (HighLevel Inc.) — email marketing and CRM / mailing list. Data stored in the United States.

  • Google Workspace (Google LLC) — email, file storage and document management. Data stored in the United States and/or EU.

  • ClickUp (ClickUp Technologies, Inc.) — project and client management. Data stored in the United States.

  • Squarespace (Squarespace, Inc.) — website hosting and forms. Data stored in the United States.

  • Xero (Xero Limited) — accounting and invoicing. Data stored outside the UK, in data centres including the United States.

We may also share personal data with:

  • Professional advisers including lawyers, accountants, auditors and insurers

  • Government bodies that require us to report processing activities

  • Third parties to whom we sell, transfer, or merge parts of our business or our assets

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We only allow them to process your personal data for specified purposes and in accordance with our instructions.

6. International Data Transfers

Some of our service providers are based outside the UK, or store data outside the UK, primarily in the United States. This means your personal data may be transferred, stored, and processed outside the UK.

Whenever we transfer your personal data outside the UK, we ensure a similar degree of protection by relying on at least one of the following safeguards:

  • The transfer is to a country that the UK government has deemed to provide an adequate level of data protection; or

  • The transfer is made under the UK International Data Transfer Agreement (IDTA), or the EU Standard Contractual Clauses together with the UK Addendum, as approved for use in the UK.

The providers listed in section 5 that store data in the United States do so under Standard Contractual Clauses with the UK Addendum, as set out in their respective data processing agreements. 7. Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, altered, disclosed, or accessed without authorisation. We also allow access to your personal data only to those who have a legitimate business need to know such data. They will only process your personal data on our instructions and they must keep it confidential.

We have procedures in place to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.

8. Data Retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

For tax purposes the law requires us to keep basic information about our customers (including contact, identity, financial and transaction data) for six years after they stop being customers.

In some circumstances we may anonymise your personal data for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

9. Your Legal Rights

Under data protection law, you have rights in relation to your personal data that include the right to:

  • Request access to your personal data (a Data Subject Access Request or DSAR)

  • Request correction of any inaccurate data we hold about you

  • Request erasure of your personal data in certain circumstances

  • Object to processing of your personal data where we rely on legitimate interests

  • Request restriction of processing in certain circumstances

  • Request transfer of your personal data to you or a third party (data portability)

  • Withdraw consent at any time where we rely on consent as the lawful basis for processing

We will respond to Data Subject Access Requests within one month of receipt. In complex cases or where multiple requests have been made, we may extend this by up to a further two months, in which case we will notify you.

You will not have to pay a fee to access your personal data. However, we may charge a reasonable fee or decline to respond if your request is clearly unfounded, repetitive or excessive.
